Background :

Higher Education Partners (HEP) faced a persistent challenge in their student recruitment process. Thousands of prospective students submitted forms to express interest in postgraduate programmes, yet many could not be reached by the contact centre. These uncontactable leads represented both a missed opportunity for the universities and a poor experience for students who had already shown intent but never received support.

Our Task :

To address this, we introduced Beth, an AI agent designed to re-engage these hard-to-reach leads. Beth’s role was straightforward but critical:

  • Call unresponsive leads and initiate a friendly, natural conversation.

  • Follow up on WhatsApp for those who preferred messaging.

  • Offer to connect students directly with an enrolment specialist to discuss their options.

  • Make the booking process effortless by scheduling directly into the advisers’ calendars.

Challenge :

The scale of the problem made it impossible for human agents alone to solve. Thousands of leads were slipping through the cracks simply because there was no cost-effective way to reach them all. Beth transformed this process by:

  • Re-engaging uncontactable leads at scale, without adding headcount.

  • Creating a conversational, student-friendly experience across both voice and messaging.

  • Delivering measurable results, with a 4% conversion rate from previously “dead” leads to booked consultations.

Evolution :

Beth has since grown beyond chasing uncontactable leads. Today, she plays an even more valuable role in HEP’s recruitment funnel:

  • When a student enquiry comes in and no human agent is available, Beth calls the lead within a minute, ensuring no opportunity is lost.

  • She runs through the pre-qualification checks required for entry into a master’s programme, providing immediate clarity for both the student and the admissions team.
